KarateShowCase.com hosts match videos, athlete photos, and coaching commentary for martial arts competition teams. Because this content frequently involves minors, we take media consent seriously. This policy outlines the rights and responsibilities of all users who upload or access content on the Platform.
1. Content Upload Rights
By uploading any content (videos, photos, or other media) to KarateShowCase.com, you confirm that:
- You are the original creator of the content, or you have obtained explicit permission from the content owner to upload and share it
- The content does not infringe on any third party's copyright, trademark, privacy, or other rights
- The content depicts lawful, sanctioned martial arts competition or training activities
- You have the legal authority to grant the licenses described in our Terms of Service
2. Consent for Minors
Because many athletes on KarateShowCase.com are under 18:
- Under 13: A parent or legal guardian must provide consent before any content featuring the child is uploaded. Children under 13 do not hold their own accounts — a parent or guardian's own account is linked to the child's athlete record and manages it.
- Ages 13–17: A parent or legal guardian should be aware of and consent to the athlete's participation on the Platform, including the upload and viewing of match videos.
- Parents and guardians may request removal of any content featuring their minor child at any time by contacting info@KarateShowCase.com.
Coaches and dojo administrators who upload videos featuring minor athletes represent that they have obtained appropriate consent from the athlete's parent or legal guardian.
3. Coach & Instructor Access
By participating in a dojo or team on KarateShowCase.com, you acknowledge and consent to the following:
- Coaches assigned to your dojo/team may view your match videos for training and performance review purposes
- Coaches may add coaching notes and commentary to your match videos
- Coaches may add scoring annotations (round scores, observations) to your match records
- Coach access is limited to the dojo or team they are assigned to
4. Administrator Access
Dojo administrators have expanded access within their organization:
- Administrators can view athlete profiles, match videos, and coaching notes within their dojo
- Administrators can manage memberships, roles, and dojo settings — but an athlete's personal profile fields (photo, bio, goals) belong to the athlete and their linked guardians, and administrators cannot edit them
- Administrators can upload team content on behalf of the dojo (with appropriate consent)
- Platform staff may access content for moderation and support purposes; private coaching notes are deliberately excluded from every support and moderation surface the Platform provides
5. Platform Promotion Use
KarateShowCase.com may occasionally use content from the Platform for promotional purposes, under the following conditions:
- Content used for promotion will be limited to general competition highlights and will not include private coaching notes or personal data
- We will make reasonable efforts to obtain specific consent before featuring identifiable individuals in any marketing materials
- For content featuring minors, we will obtain explicit parental/guardian consent before any promotional use
- You may opt out of promotional use at any time by contacting us
- Promotional use does not transfer ownership — you retain full rights to your content
6. Third-Party Content
Some content on the Platform may originate from third-party sources:
- YouTube embeds: Videos linked from YouTube are subject to YouTube's own Terms of Service and Privacy Policy
- Tournament logos and imagery: Organization logos (AAU, NKF/WKF, etc.) are used for informational and identification purposes and remain the property of their respective organizations
7. Content Removal
You can remove your content yourself, at any time:
- Your profile photo — an athlete (or a linked guardian) can replace or remove it directly from the profile
- Everything at once — deleting your account (My Account → Delete account) removes your records, photos, and videos immediately
- Team content — your dojo administrator can remove dojo-uploaded media from the dojo's media tools
- For anything else, email info@KarateShowCase.com and we will act on a verified request
When a record is removed, the underlying photo or video file is destroyed by a scheduled cleanup, typically within 48 hours. Deleted content remains recoverable to us only through the database's seven-day recovery window described in our Privacy Policy; we run no backup archives of it of our own.
8. Reporting Violations
If you believe content on KarateShowCase.com violates this policy, infringes your rights, or features a minor without proper consent, please contact us immediately:

9. Changes to This Policy
We may update this Content & Media Consent Policy from time to time. Material changes will be communicated via the Platform. Continued use of the Platform after changes constitutes acceptance of the updated policy.
