Terms of Service

These Terms of Service ("Terms") govern your access to and use of KarateShowCase.com ("the Platform"), operated for the management of martial arts competition content, athlete profiles, and coaching resources. By creating an account or using the Platform, you agree to these Terms.

1. Acceptance of Terms

By accessing or using KarateShowCase.com, you confirm that you:

  • Are at least 13 years old — creating an account requires confirming this — and, if under 18, have the consent of a parent or legal guardian
  • Have legal authority to enter into this agreement
  • Agree to comply with all applicable laws and these Terms

If you are a parent or guardian registering on behalf of a minor, you accept these Terms on their behalf and assume responsibility for their use of the Platform.

2. Account Responsibilities

  • You are responsible for maintaining the confidentiality of your login credentials
  • You are responsible for all activity that occurs under your account
  • You must provide accurate and current information when creating your account
  • You agree to notify us promptly of any unauthorized access to your account

3. Content Ownership

You retain full ownership of all content you upload to KarateShowCase.com, including videos, photos, coaching notes, and profile information.

By uploading content to the Platform, you grant KarateShowCase.com a non-exclusive, royalty-free, worldwide license to:

  • Host, store, and display your content within the Platform
  • Process and transcode content as needed for playback and performance
  • Make your content accessible to authorized users within your dojo or team (coaches, administrators)

This license exists solely for the purpose of operating and providing the Platform's services. It terminates when you delete your content or account. Deleted records are removed immediately; the underlying photo and video files are destroyed by a scheduled cleanup, typically within 48 hours, and deleted data remains recoverable to us only through the database's seven-day recovery window described in our Privacy Policy.

4. Acceptable Use

You agree not to:

  • Upload content that you do not have the right to share
  • Upload copyrighted material without the copyright holder's permission
  • Post content that is illegal, threatening, abusive, harassing, defamatory, or obscene
  • Upload content depicting violence outside the context of sanctioned martial arts competition
  • Use the Platform to stalk, bully, or harass any individual
  • Attempt to gain unauthorized access to other users' accounts or data
  • Use the Platform for any commercial purpose not authorized by KarateShowCase.com
  • Interfere with the Platform's operation or security

5. Content Moderation

KarateShowCase.com reserves the right to:

  • Review any content uploaded to the Platform
  • Remove or disable access to content that violates these Terms, at our sole discretion
  • Remove content that is reported by users and found to be in violation
  • Take action without prior notice in urgent cases (illegal content, safety concerns)

We are not obligated to monitor all content but reserve the right to do so.

6. Account Termination

We may suspend or terminate your account if:

  • You violate these Terms of Service
  • Your account is involved in abusive, fraudulent, or illegal activity
  • You request account deletion
  • Your account has been inactive for an extended period (with prior notice)

You may delete your account yourself at any time from My Account → Delete account — deletion runs immediately behind a typed confirmation — or by contacting info@KarateShowCase.com, and we will run the same deletion for you after verifying the request. An account that owns a dojo must transfer ownership first, so a team is never orphaned by accident. Upon termination, your content is removed in accordance with our Privacy Policy: your records are deleted, and coaching notes you wrote on teammates' videos are anonymized rather than deleted, so an athlete's coaching record stays whole.

7. Dojo Subscriptions & Fees

This section applies to a dojo (a martial-arts school or team) that subscribes to KarateShowCase to run its own team space. It does not apply to individual members, parents or athletes, who are never charged by KarateShowCase.

What a dojo pays

  • A one-time setup and onboarding fee of $750.00, payable when onboarding begins.
  • The first 30 days of the subscription are included at no additional charge.
  • After that, a recurring subscription of $200.00 per month.

The setup fee is charged at the start, not at the end of the included period. It is a separate charge from the monthly subscription and is not a deposit against it.

The setup and onboarding fee

The setup fee pays for work KarateShowCase performs to establish your team space: configuring the tenant, branding, initial content structure and access.

  • It is non-refundable once that setup work has begun.
  • If you cancel before setup work has begun, the setup fee may be refunded. Contact us at info@KarateShowCase.com.

Refunds are handled by KarateShowCase directly and are not automated. The setup fee is governed by this section alone; cancelling the monthly subscription does not refund it.

Cancelling the monthly subscription

  • You may cancel at any time. Cancellation takes effect at the end of the billing period you have already paid for, and your team space continues to work normally until then.
  • If you cancel during the included first 30 days, the monthly subscription does not begin. Your team space continues to work until the end of that period.
  • We do not pro-rate or refund part of a month you have already paid for, because you keep the service for all of it.

If a payment fails

If a subscription payment fails, your team space continues to work for 14 days while you update your payment details. After that, paid features are unavailable until payment succeeds. Your data is not deleted, and access is restored when payment is received.

Payments and card details

Payments are processed by our payment provider. Card details are entered on the provider's own secure pages and are never collected, transmitted or stored by KarateShowCase.

Exceptional cases

The cancellation terms above describe an ordinary, voluntary cancellation by a dojo. They do not apply where:

  • a payment is disputed or reversed, in which case paid features are suspended immediately while we resolve it with you;
  • an account is suspended under Account Termination above, for violation of these Terms or for abusive, fraudulent or illegal activity;
  • we are required to act by law.

In each of those cases your data is preserved and the situation is resolved directly with you.

8. Availability & Uptime

KarateShowCase.com is provided on an "as is" and "as available" basis. We do not guarantee:

  • Uninterrupted or error-free access to the Platform
  • That the Platform will meet all of your specific requirements
  • The accuracy, completeness, or timeliness of any content
  • That data will never be lost (though we take reasonable precautions)

We may perform maintenance, updates, or changes that temporarily affect availability. We will make reasonable efforts to provide notice when possible.

9. Limitation of Liability

To the fullest extent permitted by law:

  • KarateShowCase.com and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Platform
  • This includes, but is not limited to, loss of data, loss of revenue, or interruption of service
  • Our total liability for any claim arising from your use of the Platform shall not exceed the amount you have paid us in the 12 months preceding the claim (if any)

10. Indemnification

You agree to indemnify and hold harmless KarateShowCase.com and its operators from any claims, damages, losses, or expenses (including legal fees) arising from:

  • Your use of the Platform
  • Content you upload or share
  • Your violation of these Terms
  • Your violation of any third party's rights

11. Governing Law

These Terms are governed by the laws of the United States. Any disputes will be resolved in accordance with applicable federal and state law.

12. Changes to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via the Platform or email. Continued use of the Platform after changes constitutes acceptance of the updated Terms.
