Leads, offers and trial classes: the growth desk

For Dojo owners and administrators, Coaches

In short

The growth desk is under Messages, then Growth, for owners, administrators and lead coaches once KarateShowCase has switched it on for your dojo. An offer is a page on your site with a form: share its link or QR code, and every family who fills it in appears as a lead. From a lead you assign a follow-up, book or confirm a trial class, record whether they came, add the student to your roster and invite the family to connect. Leads you take at the desk or by phone are added with New lead…; a message from your contact form becomes a lead when you press Add to leads in the Inbox. Nothing is emailed to a family you added yourself unless you choose to, or they agreed to trial emails.

Where to find it: Admin console → Messages → Growth

The growth desk is where every family who asks about your dojo is kept until they join or decide not to. Open Admin console → Messages → Growth. It is for owners, administrators and lead coaches, and it appears once KarateShowCase has switched the growth desk on for your dojo. Its four sections are Leads, Offers, Trials and Report.

Offers: the page families fill in

An offer is a page on your site with a form: a free class, a beginner program, an open house, a party. Under Offers, press New offer:

  • What is this offer for?, a Title (for you) and a Link name, which becomes the page's address and is fixed once created.
  • The page's Headline, Intro, Benefits (one per line), Terms, Button text and what it says After they submit. The Preview beside the form is the page as families will see it.
  • Let them pick a class from the timetable lets a family choose a trial class themselves. Only classes you have opened to trial students are offered: in Admin console → Schedule → Classes, turn on Offer this class to new families for a trial and set Trial seats per class (0 means a family requests a place and you confirm it).
  • Offer an email news opt-in adds a box, unticked and never required, for families who want your news.
  • Status: Draft, Published (live at its address) or Archived (the link stops working). Press Save offer.

Each offer's card has Copy link and Share & QR, which gives a link for a flyer's QR code, a social post, an email and your website, so you can see where each family came from.

Leads

A lead is a family who asked. Leads arrive three ways:

  • From an offer page: every form sent becomes a lead, and you are told by a notification and by email at your dojo's contact address.
  • At the desk or by phone: press New lead…, say how they reached you, and add what you know. Tick They agreed to be emailed about their trial class only if they did.
  • From your contact form: open Admin console → Messages → Inbox and press Add to leads on the message.

The list shows Open leads first, the overdue ones at the top. Open a lead to see what they asked about and its Timeline, and to use Next step: Assign follow-up, change the Stage (New, Contacting, Trial booked, Trial attended), set a Follow-up with what to do, or Add a note.

Trial classes

On a lead, Book a trial… books a class in the next two weeks that takes trial students, and Move… changes it. A request from a class with no trial seats waits for you: press Confirm…. Confirming or moving asks you to choose how the family hears about it, with no default: Email them that their place is held, or I will tell them myself.

After the class, press Attended, or No-show, which releases their seat. Trials lists every booking from yesterday on, day by day.

What families are emailed

  • A family who asked through an offer page gets a short acknowledgement, if Acknowledge every inquiry is on, a reminder the afternoon before their trial, and a follow-up the morning after a no-show, each while its switch is on in Admin console → Messages → Sent.
  • A family you added at the desk gets no acknowledgement. They are emailed a reminder or a follow-up only if you recorded that they agreed, and only at the address they agreed for. Their trial confirmation goes only when you choose to email it.
  • A lead who has enrolled is not sent trial emails.
  • Nothing is emailed until KarateShowCase has switched automated email on for your dojo; until then, tell families yourself.

When they join, or don't

  • Add to roster… creates the student's record and marks the lead enrolled. It asks who is joining when the lead named nobody, and it does not start a membership or charge anybody.
  • Invite the family… then emails the person who asked an invitation already linked to those students: see Invite people and manage roles.
  • Mark enrolled records a family who joined another way.
  • Close lead… records why: not ready yet (with a date to check back), went elsewhere, never showed up, done, or spam. Reopen brings it back.

Administrators can Delete… an enquiry, or everything about a person.

The report

Report counts the last 90 days: inquiries, contacted, trial booked, trial attended and enrolled, by source and by offer. Every enrolment there is one that was recorded, never estimated.
