What your dojo has sent, and the emails that go on their own

For Dojo owners and administrators, Coaches

In short

Open Messages, then Sent. At the top, Team emails lists the newest twenty emails your staff wrote, with their subject, who they were from, their kind and how many they reached. Below, Automated emails shows every email sent on your dojo's behalf (inquiry acknowledgements, trial reminders and follow-ups, belt-test reminders, documents to sign, birthday cards), and the Automated messages switches decide which of them go out on their own. Open a message to see what it said and what became of it. Sent appears for owners, administrators and lead coaches once KarateShowCase has switched automated email on for your dojo.

Where to find it: Admin console → Messages → Sent

Open Admin console → Messages → Sent. It is for owners, administrators and lead coaches, and it appears once KarateShowCase has switched automated email on for your dojo.

Team emails

The emails your staff wrote on the Email tab, newest first, the latest twenty: each one's subject, who it was from, whether it was About the dojo or News and offers, and how it went: Sent to how many, how many could not be sent, and how many were skipped because the person had unsubscribed or their address cannot receive email. No addresses are shown. How to write one is in Email your team.

The emails that go on their own

Automated messages lists each email the platform can send for your dojo. Each one goes only while its switch is on; turning one off also stops any of that kind still waiting to go. Press Save automations after changing them.

SwitchWhen it goesOn to start with
Acknowledge every inquirywhen a family sends an offer page's formyes
Remind families the day before a trialthe afternoon before a held trial classyes
Follow up after a missed trialthe morning after a no-showyes
Remind candidates before a belt testa week before and the day before a scheduled belt testyes
Invite closed leads backa month after a lead closed as not ready or lost, only to families who asked for your newsno
Birthday cardsthe morning of an athlete's birthday, where a date of birth is on fileno

A trial class confirmation has no switch: it goes only when someone at your dojo chooses to send it. Nor does an email about a membership payment that did not go through: it goes once, to the person who pays for the plan, at their account's confirmed address. Families you add at the desk get trial emails only if you recorded that they agreed: see Leads, offers and trial classes.

Every automated email, and what became of it

Under Automated emails, the counts say how many were sent in the last 30 days, how many are waiting to go and how many were not sent. Narrow the list by status, by kind, or by searching a name, an address or a subject. Each row says how it stands: sent, scheduled, not sent and why (for example Unsubscribed, Address bounced, Switched off by the dojo or No longer applies), or failed.

Open a message to see when it was queued and sent, why it was sent, the permission it relied on, and its words. Delivered and Bounced are the email provider's own word, from its delivery reports.

Emails about a family's membership payments are shown to owners and administrators only.

When an address bounced

If a family's address bounced, opening the message says why and what to do. How to get email to them again is in Email your team.
