Contact details a dojo keeps about you

For Students and families, Coaches, Dojo owners and administrators

In short

A dojo can keep the names, phone numbers and email addresses of a student's parents, guardians and emergency contacts. Only its coaches and administrators see them, and it can email a parent or guardian about the dojo, never news and offers. To correct or remove your details, ask the dojo; it will first confirm it is you. If it cannot help, write to KarateShowCase at info@KarateShowCase.com: we confirm the request with you, correct or remove your number or address and name on the dojo's records, and tell the dojo. To see what the dojo keeps, ask the dojo; we can ask it for you.

What a dojo keeps

A dojo can keep, on a student's record, the names, phone numbers and email addresses of the student's parents or guardians and of emergency contacts, and how each is related to the student. Its coaches and administrators see them, so whoever is teaching knows whom to call. Families do not see them, being listed does not connect you to the student's profile, and a number or address kept this way is not permission to text you or to send you news and offers.

Email from the dojo

If you are listed as a parent or guardian with an email address, the dojo can email you about the dojo itself: classes, closures, events and belt tests. Each email says it came because the dojo lists you as a parent or guardian of one of its students. News and offers are never sent to an address kept this way. An address reported as spam is not emailed again, and one that bounced is not emailed again unless the dojo confirms it was corrected. An emergency contact is never emailed this way. To stop these emails, ask the dojo to remove your address (below).

Correcting or removing your details

Ask the dojo: use the contact form on its page, or ask in person. Before it changes anything, the dojo confirms the request is yours, usually by calling back the number it already has or writing to the address it has.

If the dojo cannot help, write to KarateShowCase at info@KarateShowCase.com. We confirm the request with you, usually by calling the number or writing to the address you gave us, then correct or remove your number or address and name wherever the dojo has it. We are not shown the dojo's records to do this, and we tell the dojo when we change one of them. To see what the dojo keeps about you, ask the dojo; if it does not answer, we will ask it for you.

For the dojo

Owners, administrators and lead coaches keep a student's contacts, from the student's profile. When someone listed asks to correct or remove their details:

  1. Confirm it is them first: call back the number already on record, write to the address already on record, or speak with them in person.
  2. Open the student's profile, then Edit contacts, and make the change.
  3. Under Why are you changing these?, choose how you confirmed the request, then Save contacts.

Every change to a student's contacts is recorded: who made it and when.
