Text your families
For Dojo owners and administrators, Coaches
In short
Once KarateShowCase has turned texting on for your dojo, texts from families arrive in the admin console under Messages, then Inbox, where you can reply. To text a group, open Send to a group and choose Everyone, A group, or Choose people. A group is who hears about it — students, parents and guardians, or staff — and which students: by belt, class, age, the competition team, or a tournament or event they are going to. Before you send, the composer counts who will receive it and says why anyone will not. Your dojo's name and how to stop are added to every text, and nothing is sent during quiet hours.
Where to find it: Admin console → Messages → Inbox
Texts from families
Texting is something KarateShowCase turns on for a dojo. Once it is on, texts to your dojo's number arrive in Admin console → Messages → Inbox, under Messages, and you can reply there. A family receives texts only after turning them on in their own account with a code, and replying STOP ends them (Texts from your dojo).
Sending a group text
Open Admin console → Messages → Inbox and choose Send to a group. Choose who gets it:
- Everyone — every member who has texts on.
- A group — the group you build, below.
- Choose people — search by name and tick the people you want.
Then write your message. Before anything is sent, the composer counts how many will receive it and, under Why some won't get it, why anyone will not, such as no number on file or texts stopped. Press Send to and the number. One press sends once, even if the connection drops while it goes: nobody is texted twice, and the result says how many were sent and how many could not be delivered.
Every text begins with your dojo's name and ends with how to stop, added for you; the composer shows both before you send. Group texts are not sent during your dojo's quiet hours.
Building a group
Who hears about it — tick any of:
- Students — the students you choose below. A student under a parent or guardian's care is texted through them, never at the student's own number.
- Parents & guardians — the parents and guardians linked to those students. With no filter, every parent and guardian.
- Staff — owners, administrators and coaches.
Which students — every student on your roster, unless you narrow it:
- Belt — students at any of the belts you tick, as your belt ladder records them. A student with no belt from your ladder on record is in no belt group, and the composer says how many.
- Class — students who checked in to any of the classes you tick in the last 60 days. Classes appear when your dojo takes attendance.
- Tournament or event — students who said they're going to any you tick.
- Age — 18 or older or Under 18, from the dates of birth your dojo has on record, for owners, administrators and lead coaches, when dates of birth are on for your dojo. An age group is a group of students, so Students stays ticked; a student under 18 in a parent or guardian's care is texted through them, so Under 18 reaches those parents. A student with no date of birth on record is in no age group, and the composer counts them; you see how many, never anyone's date of birth (Privacy Policy).
- Only the competition team — students on your competition team, when your dojo runs one.
Inside one filter, any of your choices counts; with several filters, a student must match every one. For example, Black and Brown belts with Only the competition team is the team's Black and Brown belts.
A parent of several chosen students, or a parent who is chosen and whose child is too, gets one text, not one for each.
Staff in a group
Staff are not in belts, classes, age groups or the team, so a group narrowed by any of those cannot include staff: untick Staff, or clear those filters. Narrowed only by a tournament or event, Staff means the staff who said they're going.
